Position Summary
We are seeking an Administrative Assistant to join our Tax Department. This position will report to the Operations Manager.

Responsibilities include:
- Assemble tax returns – print, staple, create cover letters, and attach correct envelopes
- Scan, Print, mail, and track client organizers and engagement letters
- Track project completion dates in Project Management software
- Maintain client contact information in Practice Management software
- Export data from database to Excel to create reports
- General administrative duties include but not limited to: filing, answering phones, contacting vendors, scheduling appointments, correspondence
- Maintain copiers by keeping stocked, distributing faxes, replacing toner, basic user maintenance, fixing paper jams, calling technicians when necessary
- Assist other admin staff in maintaining Kitchen
- Schedule and set up/break down meetings
- Assist with busy season catering and special events
- Processing billings, posting bills and payments
- Look up invoices, track payments in Practice Management software
- Other duties as assigned
Qualifications:
- Detail oriented, accuracy over speed
- Understanding of tax forms and related deadlines (i.e., know that a 1040 is for individuals and that its deadline is April 15th and if extended its new deadline is Oct 15th, etc)
- Computer skills: Intermediate skills for Microsoft Office and Adobe,
- Professional and diplomatic client and internal communications
- Experience and knowledge to use judgement and make decisions
